How to add users and assign roles

Create a user in an office and assign the roles needed for their work.

Create users from the current office and assign roles that match their responsibilities.

Before you start

  • You need permission to manage users.

  • Confirm the user's name, email address and required office roles.

  • Decide whether the user will sign in through SSO or with a temporary Flinq password.

  • Choose the user's roles using the principle of least access. Roles are scoped to the current office.

Create a user

  1. Switch to the office the user should access.

  2. Go to Settings > Users.

  3. Open the Create User form.

  4. Enter the user's Name and Email.

  5. For a password-based account, enter a temporary Password that meets the displayed policy. Leave the field empty when the user will authenticate only through SSO.

  6. Select one or more Roles.

  7. Select Create. Use Create & create another only when you need to add another user immediately.

The user appears in the current office with the assigned roles. An SSO-only user signs in through the organisation's identity provider. Give a temporary password only through an approved secure channel; Flinq may require the user to change it and complete two-factor authentication before continuing.

Add an existing user to another office

  1. Switch to the destination office and go to Settings > Users.

  2. Select Add existing user.

  3. Select the user and assign the roles they need in this office.

  4. Confirm the addition.

Change access

Edit the user's roles when their responsibilities change.

If the office uses managed-entity permissioning, also review the user's direct record assignments and team memberships. Roles and record scope are separate: changing one does not automatically update the other.

Flinq prevents you from removing or deactivating the last Organisation admin. Assign another Organisation admin first.

Remove or deactivate a user

  • Remove from office detaches the user and their office roles from the current office. The user remains active in any other office they can access.

  • Deactivate disables the user account across the organisation. Use the deactivated-users filter and Reactivate if access is restored later.

Neither action is available for the last Organisation admin. Assign another Organisation admin before removing or deactivating that user.
