How to archive and restore a book
Remove an unused book from active views without deleting its linked records.
Archive a book when it is no longer used in day-to-day work, and restore it if the reporting group becomes active again.
Before you archive a book
Confirm that no current operational process relies on the book.
Record or export any report needed for a period close before changing active reporting groups.
Review the linked bank accounts and Fixed Term Deposits so the affected scope is clear.
Archive a book
Go to Banking > Books.
Find the book and select Archive from its actions. You can also open the book and select Archive.
Review the confirmation and archive the book.
The book moves out of the active list and becomes available through the archived filter. Its linked records and activity history remain available to authorised users.
Restore a book
Go to Banking > Books.
Use the archive filter to show archived books.
Find the book and select Restore.
The book returns to the active list with its preserved name, record relationships and history. Review its linked accounts and summary values before using it for a new report.
If Archive or Restore is not available
Check that Books is enabled for the current office and that your role can archive or restore books. A missing action is not evidence that the book or its data has been deleted.
