How to approve a payment run

Independently review an awaiting payment run and approve or reject it with the correct processing outcome.

Independently review a payment run in Awaiting approval before authorising its payment instructions or rejecting it for correction.

Before you start

  • The payment run must have the status Awaiting approval.

  • You cannot approve a payment run that you created. Another eligible approver must complete the action.

  • Have the payment instruction and evidence required by your organisation's approval controls available for an independent check.

Review and approve the payment run

  1. Go to Interest Pooling > Payment Runs.

  2. Filter Status by Awaiting approval, then open the payment run.

  3. Confirm the interest pools, bank, currency, exporter, date range and creator against the payment instruction you are approving.

  4. Review the financial summary and account-level entries, including gross interest, cash management charge, Flinq fee and client net return where applicable.

  5. Review any negative-balance warning, management-account reconciliation result and standing-rate floor shown. Follow your organisation's controls for anything that needs attention, and use Timeline to check the run's history.

  6. Select the approval action shown for the exporter only when every required check is complete.

What happens next

  • Approve: the status becomes Awaiting payment. The manual payment file can then be downloaded and processed by an authorised user.

  • Approve & Pay: Flinq sends the payment run through the automated exporter and the status becomes Sent to bank. Later statuses depend on the bank response.

  • Approve & Queue: Flinq approves the run and queues it for bank delivery. The status changes to Sent to bank only after the delivery completes.

Flinq records the approver and approval time in the payment run's history. The payment creator receives an in-app notification and an email if they enabled payment run decision emails.

Reject a payment run that is not ready

If a required detail, amount or control does not agree with the approval evidence, select Reject instead of approving the run. You can enter a rejection reason before completing the action. Flinq changes the status to Rejected, records the decision and notifies the payment creator.

The approval action is not available

Confirm that you are in the correct office, Interest Pooling is enabled, the payment run is Awaiting approval, you have Approve payments, and another user created the run. Refresh the record if another approver may already have acted.

If an approval attempt shows an error, review the current status and Timeline before trying again. If the status is Failing or you cannot establish whether an instruction reached the bank, stop and contact Flinq support through an approved secure channel. Provide the office, date range, exporter, approximate time and exact visible error without sending confidential account information by email.
